Transcript
Every action, on record
The activity log. Sooner or later, someone asks who changed something, and when. It might be an auditor. It might be you, after a document went out with a mistake in it. The Activity page answers that. It records everything that happens in your organization, newest first. No one in your workspace can edit or remove its rows, so it's a record you can rely on. Each row is one action. Read it left to right, like a sentence. When is the time. Action is what was done, and Target is what it was done to. Actor is who did it. If it says system, Proof did it on its own, not a person. Details adds the specifics, such as which check was confirmed. Times are in UTC, universal time, rather than your local time. That way they line up with any other record you compare them with.
Find one person's work
Often the question is about one person. What did Sam do today? To answer it, choose Sam under Actor, and then Apply. You can narrow the log in other ways too. Action keeps one kind of action, and Entity keeps one kind of thing, such as documents or users. Since and Until set a time window, also in UTC. Here is Sam's day. He claimed two documents, which means he took them on as his own work. He confirmed the reading order of one. That's a check only a person can make. Then he handed both in for approval. Each target is also a way in. To see the document behind a row, select its name in the Target column, and it opens in the Library. A person's name opens Users, and a team's name opens Teams. If something has since been deleted, the row keeps its name and marks it removed. To see the whole log again, choose Clear.
Take it with you
When an auditor asks for the record itself, choose Export CSV. It downloads the rows that match your filters, so here it would be only Sam's day. Choose Clear first to export everything. The spreadsheet also holds the full details of each action, more than the table has room for. One more record sits just below Activity in the menu. If someone says they never got an invitation, Email deliveries shows every email sent to your people, and whether it bounced. Now you can answer who did what, and when, for one person or your whole organization, and hand the record to anyone who asks.
