Getting it out
Downloading and sharing. A document is certified. Now someone else needs it, like your web team, a client or an auditor. What do you hand them, and how? Each certified document comes with two files. The accessible PDF, and its certificate. Both unlock when the document is certified. Until then, only your original file can be downloaded.
One document
For a single document, start on the document itself. Version history, in the menu at the top, lists every version of the file. Hand over the newest one. It's the version the certificate names. To save it, choose the download beside it. Send that file exactly as it is. Editing it, or exporting it again from another program, voids the certificate. The certificate is a PDF of its own. Send it along with the file. It opens from View certificate in the Certify step, or from the seal at the top of the page.
Many at once
When there are many documents to hand over, start in the Library. To keep the export to finished work, filter by status, and choose Done. Done means certified, with its files ready to download. Here, that leaves the two certified documents. Then choose Export, and Download zip. The window asks what goes in it. Deliverables puts each document's PDF and its certificate in a folder of its own. That's the usual choice for a hand-over. Remediated PDFs, or Certificate PDFs, gives you just one of the two. Start the export. Proof builds the zip in the background, so you can keep working. Only certified documents go into a zip. If your selection includes others, Proof leaves them out and says which. You can also select documents in the list, and choose Download zip on the bar that appears. What's left out and why, and the spreadsheet exports, are in the lesson Exporting many documents.
Downloads
Finished zips wait on the Downloads page. Each one is kept for thirty days. When the status reads Ready, choose Download to save it yourself. To give the zip to someone without a Proof account, choose Share. It copies a link to your clipboard. Anyone with that link can download the zip for seven days, without signing in. Send it only to the people who should have it. Now you can hand over one certified document, or many, as files or as a link.
