Who's on it
Assigning work. When several people fix documents, work slips through the gaps unless someone decides who does what. As the team lead, that's you. Assigning a document gives it one owner, and, if you like, a note and a due date. They see it waiting for them, and you can see who has what. The clinic hours notice has failed a check, and its card says Unassigned. Nobody has it yet. In a big library, you don't have to hunt for cards like this one. Filter the Library by Assignee and choose Unassigned, and you'll see everything nobody owns yet. To give this one to someone, point at its card and choose Assign. Only organization admins have this button.
Assign it
First, choose the person. The list only shows people who can open this document, so you can't hand it to someone who can't reach it. Here, Sam. It's marked as Sam's until Sam starts it. Then add a note about what to watch for, so Sam doesn't have to rediscover what you already know. Here, check the text colour in the teal box. If it matters when it's done, add a due date. Here, three days from now. Due dates set the order of the work. Sam's list puts the soonest due first, and anything past its date is marked Overdue. Now the card shows who has it, Sam Rivera, and that the work hasn't started yet. It also shows when it's due. Sam gets an email with your note, so the request doesn't depend on Sam happening to open Proof.
Where it waits
So what does Sam see? Here's Sam's side. In Review, under Assigned to me, the document waits with its due date, soonest due first.
When plans change
Plans change. To give the document to someone else, choose Reassign on the same card. You can do it any time until the work is handed in. The new person gets it as not started, and Sam is told it moved. The same dialog can also Unassign it, or move only the date, with Save due date. Seeing everyone's load and what's overdue is the lesson on following your team's progress. Sending new documents to people automatically is set up by your admin, in Workflow. Now you can give a document to the right person, with what they need to know and when it's due, and change it when plans change.
