Ready for approval

Reviewing and approving. A certificate says a document is accessible, so somebody has to be sure before it's issued. On a team, that's the approver. An approver is an organization admin, or a member an admin allows to certify. The person who fixed the document hands it in, and the approver either certifies it or sends it back. As an approver, you'll find that work at the top of Review, under Awaiting approval. The oldest hand-in comes first, so nothing waits longest by accident, and each row shows who handed it in. Sam has handed in two. Each row opens straight onto the document's last step, Certify. Let's open the first.

When it isn't ready

The Certify step is where you decide, so it starts by telling you what's still open. Here, the Reading step still has two checks for a person to review. Until they're done, approval is blocked, and the gate says so. Each line in that list opens its step. If it's quicker to confirm the checks yourself, you can. But this is Sam's work, so let's send it back. Choose Send back, and say what needs to change. The reason is required, and Sam sees exactly what you write. So name the step and what to do, not just that it's wrong. Here, the Reading step still has two checks to review. Please confirm them and hand it in again. The document goes back to Sam, marked Sent back to Sam Rivera, with your reason beside it. Sam is told by email.

Approving

So what does a document look like when it's ready? The second one is. Every check has passed, and Sam confirmed its reading order, so the gate is open. Approving is the moment that counts. Approve and certify locks this version, uses one document from your balance, and issues the certificate. So before you press it, make sure this version is the one you want certified. It's certified. This version is locked, and its certificate is issued. View certificate opens it.

Asking for a second pair of eyes

When you fixed a document yourself, you can still have someone else approve it. On the Certify step, hand it in, and another approver certifies it. Your admin can also require that for everyone, in Workflow. That has its own lesson. Now you can find the work waiting for you, send it back with a reason your colleague can act on, and certify what's ready.
